Tracking overtime hours [in-depth guide]

Overview
Normally, any time entry is tracked in the system as a regular hour of time entry. The billing rate is based on the project setting: 'get labor rate from'. The labor net amount for the time entry is calculated based on the hourly cost field setup on the employee record. For hourly employees, this setting does not consider the higher net hourly cost incurred due to work that is considered overtime.
Workamajig now allows you to set up and track overtime hours for both payroll and project costing reporting.
Setup
Transaction preferences
Admin > System setup > Account information > Transaction preferences > Time sheet
check Track overtime
Employee record
From the employee record: Accounting
Once the transaction preference is checked, two new fields will be available in the employee record
- Overtime cost - Enter the hourly cost for time entries designated as 'overhead'
- Overtime vendor cost -used for contractor time entries: Enter the hourly cost for vendor overtime hours
NOTE: If left blank, the regular hourly cost will be used.
How to enter overtime
From: Creative today > Task card > Time entry
To designate the time entry as overtime, check the Overtime box before SAVE. The full amount of hours entered will be considered overtime.
NOTE: If only a partial amount of the time is considered overtime, you must create two time entries, one for the regular time and one for overtime time.

Click on comments to check the Overtime box

Once saved, the line will display OT to designate specific entries as overtime entries on the timesheet
Billing
An overtime entry is still considered a billable transaction. For billing, there will be no difference between the billing rate of regular hours vs. overtime hours, as the 'get labor rate' sets the billing rate from on the project. Only the net hourly cost is adjusted according to the employee settings.

When splitting a time entry, the time entry can be split into regular hours and overtime hours by checking Create hours to split as overtime

When splitting a time entry, the time entry can be split into regular hours and overtime hours by checking Create hours to split as overtime.
NOTE: Designating split hours as overtime hours will update the timesheet accordingly.
Reporting
Custom report datasets
A new field, "Overtime" has been added to the following datasets. The field will display Hours designated as overtime.
- Time detail data
- Time detail data (no cost)
- Time detail data (with employee custom fields)
