Converting employees to/from contacts [in-depth guide]
Guide contents: Converting an employee to a contact | Converting a contact to an employee | Resources
Depending on the situation, you can convert an employee record to a contact and even make them a free user if need be. Similarly, you can convert a contact to an employee. All prior records of what this user did will remain intact. So there is no need to create duplicate records of contacts for their prior employee record counterparts.
NOTES:
- When you convert an employee to a contact, they are NOT automatically checked as a free user. You must still check 'free login' from the contacts login settings.
- When converting a contact to an employee, they DO become a full paid user in the system if they have a login ID.
Converting an employee to a contact
Open the employee record in question.
Click on Login settings.
From the Login settings screen, click on Convert.
A prompt will appear to confirm this action.
By clicking Yes to the confirmation, the employee record closes, and the contact record opens.
To then make them a free user, click on Settings and then Login settings.
From Login settings of the contact record, click on Free login.
You may also want the check what security group they are in as they determine what level of access the login will have.
Click OK and then Save the record.
Converting a contact to an employee
Same as above, except that this will then become fully paid user in the system.
You then get a prompt to confirm this change.
If the contact record was checked as a 'free login' before conversion, then the following prompt will appear.
You will then need to enter a user ID and password from Login settings in the new employee record.
If 'free login' was not checked prior on the contact, and there was a login ID, then you move onto the now converted employee record.
