Project Requests allow your team and clients to initiate a request for something to be done by your team. You can define multiple Project Request forms with Custom Fields as a cover sheet to several specification sheets.
Each project request form can also have a custom approval process defined for the request. This approval process may involve several different people reviewing the request and adding additional information to the request, or simple email notification to team members of the existence or approval of a project request.
It is best to focus on linking specification sheets to Project Requests, as all of the information contained in the specification sheet will be automatically copied to a New Project, should you open a New Project directly from the Project Request.
Create A Project From An Approved Project Request Form
The last person to approve the request form will have the opportunity to create a project. We recommend that you make the final step in the workflow, the person that would normally create the project. This allows them to review the project request, approve the request, and then create the project.
Upon approval of the request, the screen will refresh, and you will see Create Project appear in the Actions section.
Click Create Project.
A New Project screen will appear on the right side.
The contents of the Project request will flow into the New Project, following the Save of the new project.
Spec Sheets will be available via Specifications area.
Attached Files will be available in the Files area.
Locating Approved Requests
To find an approved project request, go to Menu > Project Manager>Today-PM>Views: Project Requests.
This opens the project request listings screen. Select the "All Requests" view.
- Change the Status filter to only show results that are Approved.
- Use the filters further to limit the results by the client or other needs.
- Click Search.
- Use the returned list of data to find the request you need, and then click the line to open the request.
Creating Multiple Projects From A Single Approved Request
Once you click Create Project, the curtain will refresh and show the new project. Click the X in the top right corner of the project curtain to return to the Project Request Form.
From the Project Request form, you can repeat the Create Project steps again. Each new project will be listed on the main Project request page under the Project section.
Close Project Request
Once all projects have been created or you have decided that the rejected request will not move forward, it is recommended that you close the request.
- Click on the Request Details edit icon
- check Closed
- click SAVE
