Project Change Requests allow members of your internal team or your clients to initiate a change of scope or content of a project. The Project Change Request allows you to make changes to current spec sheets and project custom fields or request the addition of different specs.
Each project change request form will also have a custom approval process defined for it. This approval process may involve several different people reviewing and adding additional information to the change request, or simple email notification to team members of the existence or approval of a change request.
Who Can Submit A Project Request For Review?
Free and Full paid users can submit project change requests, however, there is some setup involved prior to this step and possibly some limitations based on which user is logged in.
NOTE: Free and Full Users can add files at the end when submitting a project change request, however, you can limit who can add additional pre-defined spec sheets at the end of the request form based on Security Group Rights.
A free user in Workamajig is defined as a Contact whose record has login credentials populated, is an active contact, and has "free login" checked. Free users will submit project change requests via the Client Portal, a condensed single page centered around the creation of new requests or for access for information on ongoing projects.
When a free user submits a project change request, Workamajig will automatically match it to the client record they are linked to.
Free users can submit project change requests for project where they are on the project team.
What if things change? For example, if you change which client the contact is linked to, then the free user contact will no longer have access to old jobs for the previous client, but they will for the client they are currently linked to.
A Project Change Request can be submitted from the Client Portal>click on project to show project details>Change Request.
Click on + NEW icon
A full user in Workamajig is defined as either 1) an active employee record with login credentials or 2)an active contact record with login credentials and free login NOT checked. Both of which are counted as paid users in the system.
Full users can create project change requests for any client.
Full users can access all prior project change requests and projects.
Project Change Requests can be submitted via the Project Dashboard>Change Request +
Using A Project Change Request Form
The following provides the workflow for using a project change request form as part of your scope change tracking process.
NEW PROJECT CHANGE
Based upon the how you create the new change request that was outlined above, you will be presented with a screen that will provide a list of Project Change Request forms that are available for you to submit.
1. Select the appropriate Project Change Request from the list
2. Enter a Subject and Description that will help define what the change request is about> Click Next
3. The project spec sheets will be listed along the left side. Select and click the blue pencil icon on the right side of screen to edit the spec sheet fields. If allowed, you may also click on the + icon to add a new spec sheet.
Close the edit screen and click Next
Once your changes have been made, the main screen will display the appropriate label for the spec sheet: New or Revised
4. Click Submit when completed
