There are several Security Group Rights that control which groups can view and/or edit conversations for themselves or others.
If needed, there is a feature called Folders that allows you to make conversations visible to other users beyond security rights, however, this is typically not needed.
Before you can create an Activity, we need to make sure you are setup with the proper access. If you are not a System Administrator, it is a good idea to ask your System Admin to make sure you are setup with the proper set of security rights allowing you to utilize the Activities module. If you are a System Admin, go to menu > admin > system setup > global options > security settings. You will find that the list of security rights is separated into sections. Scroll down until you get to the section called Contact Management (see screenshot example below). The Contact Management section is where you will find the necessary security rights for accessing the Activities modules.
Here is a list of the security rights that you will need to assign to each security group that is in need of access to the Activities module in Workamajig:
Use Conversations: This one is pretty self-explanatory!
View Conversations Not Assigned to You: This security right will allow the user to view Activities that are NOT assigned to the user. Administrators should use their discretion when assigning this right to their users.
Edit Conversations Not Assigned To You: This security right will allow the user to edit an Activity that is not assigned to them. Administrators should use their discretion when assigning this right to their users.
Edit Conversations: The user will need this right in order to create an Activity.
Delete Conversations: This security right will allow the user to delete an Activity. Administrators should use their discretion when assigning this right to their users.
Always Check for Opportunities On Conversations: This security setting will automatically search for Opportunities that can be linked to the Activities you create.
Each Today page is unique to that role, but also each Today page has a tab for Conversations. This is all conversations assigned to you outside of projects.
If you need a further level of options to define what an activity is and report on this predefined list, then you can add Conversation Types to the system for users to then select when creating an activity.
You can also have email communication sent out from activities, then allow users to respond back via email, and have Workamajig manage who should get responded to by setting up Mail Settings.
