Menu > Admin > System Setup > Tracking > Define Spec Sheets
NOTE: This is being converted to flash screens and is currently in Labs.
Spec Sheets have a variety of uses, they can be applied to a Project, Project Request, Opportunity, Purchase Order. However they must have a layout defined, this is done by going to Menu > Admin > System Setup > Tracking > Define Spec Sheets.
By Default, Workamajig has several general layouts pre-made. These are Creative Brief, Photography Specs, Printing Specs, Publication Specs.
You can edit these layouts to suit your needs or go through the process of creating a new layout.
Create A New Spec Sheet
- Click on New, give the Spec Sheet a name and click Save.
- Under 'Actions' at the top, you now have 'Define Fields' and 'Export'.
- Under Custom Fields, from the available fields, select the fields you want to display in the layout.
- Next, set up the order according to how you want them to appear in the layout of the spec sheet itself.
You now have a new Space Sheet that can be used in the system.
NOTE: To preview how a Spec Sheet will look to a user when populating it, you will need to add the Spec Sheet to a project (or other means) and then edit the spec sheet.
Creating Custom Fields
See Define Custom Fields on how to use these.
When special characters (i.e. !@#$?*) are needed for spec sheets, users should create the field using Text Area and not just Text. This will allow for spec sheets with special characters to upload without any issues.
NOTE: Custom Fields that you add in Spec Sheets will only be visible and editable from Define Spec Sheets > Actions > Define Custom Fields.
Using Spec Sheets
Remember, Spec Sheets can be used throughout the system, to enhance your process and track details.
Typically they are used in Projects and can be accessible from the project itself by click on Specifications from its list on the left. Yet they can also be accessed from the My Tasks and Active Projects widget using the bull's eye icon (aka Jump To Project).
There are some security rights that may need to be enabled for users to have the ability to create, edit and use Spec Sheets.
Importing And Exporting Spec Sheets
The following can be used if you want to copy a Spec Sheet or if you need to apply to a separate instance of Workamajig.
NOTE: If using this to create a copy, it will be labeled with the same name on import. so you will want to rename it afterward.
Open the spec sheet definition you want to use, then click Export.
This will generate an XML file that you can import into another account or create a copy in the same account.
From of spec sheet definition, click on Import. Then click Choose File and locate the XML file in question. Click Upload File. The Spec Sheet is now in your list of spec sheet definitions.
